Intern & Staff Roles – Daily Operations at GHQA

1. Executive Director (CEO Intern/Full-Time)

Reports to: Board of Directors
Daily Activities:

  • Review emails, correspondence, and action items from the Board and partners.
  • Oversee ongoing projects (programs, events, partnerships).
  • Conduct a daily briefing/check-in with other interns or directors.
  • Monitor finances, approve small expenses, and track budgets.
  • Represent GHQA in scheduled calls/meetings with external organizations.
  • Draft daily/weekly status reports for the Board.

2. Assistant Executive Director

Daily Activities:

  • Support Executive Director with scheduling, follow-ups, and task delegation.
  • Track deadlines and ensure accountability across departments.
  • Draft meeting agendas, minutes, and progress summaries.
  • Coordinate communication between departments. 

Director of Programs & Outreach

Reports to: Executive Director (CEO)

Role Summary

The Director of Programs & Outreach ensures the successful design, execution, and evaluation of GHQA’s flagship programs, including GHQA Boards in Clinical Medicine, Digital Medicine, and Global Health; Wednesday Webinars; Community Sunday Clinics; academic working groups; and partnership initiatives. This role combines program management with external engagement, ensuring GHQA’s activities reach diverse communities while building sustainable collaborations.

Core Responsibilities

  1. Program Oversight
    • Manage planning and execution of GHQA Boards (ABCCM, ABDM, ABGH) activities — exams, credentialing, preparatory workshops.
    • Oversee signature GHQA programs (Wednesday Webinars, Community Sunday Clinic, research working groups).
    • Ensure program alignment with GHQA’s strategic priorities.
  2. Outreach & Engagement
    • Serve as the primary contact for academic institutions, healthcare organizations, NGOs, and industry partners.
    • Build outreach strategies to attract candidates for GHQA Boards and participants for other programs.
    • Foster relationships with community partners for Sunday Clinics and training initiatives.
  3. Evaluation & Reporting
    • Collect and analyze attendance, outcomes, and participant feedback across programs and Boards.
    • Track performance metrics for credentialing and continuing education activities.
    • Prepare program impact reports for the Executive Director and Board of Directors.
  4. Grant & Proposal Development
    • Collaborate with the Director of Development & Aid to prepare funding proposals that support GHQA programs and Boards.
    • Ensure program deliverables align with grant requirements.
  5. Growth & Innovation
    • Identify opportunities to expand GHQA Boards into new disciplines or regions.
    • Propose new programs that address emerging needs in global health, digital medicine, and clinical practice.
    • Support the development of training pipelines and exam prep resources for Board candidates.

Daily/Weekly Activities

  • Monitor the progress of GHQA Boards and ensure upcoming exams, prep courses, or meetings are on schedule.
  • Organize logistics for Wednesday Webinars (speakers, promotion, participant follow-up).
  • Coordinate Community Sunday Clinic volunteers, scheduling, and partnerships.
  • Maintain contact with academic and community partners, especially for Board-related outreach.
  • Support grant and proposal writing to sustain program and Board operations.
  • Track attendance, deliverables, and participant feedback across all programs.
  • Provide daily/weekly updates to the Executive Director on program and Board status.

Long-Term Goals

  • Develop a Program Impact Framework with KPIs for both GHQA Boards and community programs.
  • Expand GHQA Boards into recognized international credentialing programs.
  • Establish partnerships with universities, hospitals, and professional societies to support GHQA Board exams and prep courses.
  • Publish an Annual Programs & Outreach Report summarizing activities, outcomes, and growth.

Director of Communications

Role Summary

The Director of Communications manages GHQA’s internal and external communications strategy to ensure consistency, visibility, and impact. This role covers social media, newsletters, press relations, branding, and content development. The Director ensures GHQA’s key activities — including the GHQA Boards (ABCCM, ABDM, ABGH), GHQA Journal, Wednesday Webinars, and Community Sunday Clinics — are promoted effectively to global audiences.

Core Responsibilities

  1. Content Management
    • Develop and publish high-quality content across GHQA’s website, newsletters, and social media platforms.
    • Coordinate with other directors (Programs, Research, Events) to highlight activities, findings, and opportunities.
    • Ensure all communications reflect GHQA’s mission and values.
  2. Brand & Media Relations
    • Maintain brand consistency across all platforms and materials.
    • Serve as first point of contact for media inquiries, interviews, or press coverage.
    • Draft and distribute press releases for major announcements (Board certifications, partnerships, conferences).
  3. Campaigns & Promotion
    • Design and manage promotional campaigns for GHQA Boards, Journal publications, events, and clinics.
    • Engage members and partners through storytelling and impactful visuals.
    • Oversee production of communication materials (flyers, brochures, reports).
  4. Analytics & Strategy
    • Monitor website traffic, social media engagement, and campaign performance.
    • Generate regular analytics reports for leadership.
    • Adjust communication strategies based on data insights.
  5. Internal Communications
    • Ensure staff, interns, and chapter leaders receive timely organizational updates.
    • Support GHQA’s culture of collaboration and transparency through effective internal messaging.

Daily Activities

  • Post and update GHQA content on social media (LinkedIn, Twitter/X, Facebook, Instagram) and website.
  • Draft, edit, and circulate weekly newsletters with upcoming events, updates, and opportunities.
  • Respond promptly to media inquiries and prepare talking points for leadership.
  • Draft announcements for new programs, Board exams, partnerships, or chapter launches.
  • Monitor media coverage and analytics to measure engagement and reach.
  • Update event pages for Wednesday Webinars, Sunday Clinics, and GHQA Journal releases.
  • Collaborate daily with the Director of Programs & Outreach to align event promotion.
  • Provide daily/weekly updates to the Executive Director on communication performance.

Long-Term Goals

  • Establish a GHQA Global Communications Strategy that aligns with organizational growth.
  • Build a media contact list and foster long-term relationships with journalists and health outlets.
  • Expand GHQA’s reach through strategic campaigns for Board certifications and Journal publications.
  • Launch a “Voices of GHQA” Blog/Spotlight Series to feature members, fellows, and chapter leaders.

  • Bachelor’s degree (or in progress) in Communications, Journalism, Marketing, Public Health, or related field.
  • Strong writing, editing, and social media management skills.
  • Basic graphic design or content creation skills (Canva, Adobe, etc.) preferred.

Director of Membership & Engagement

Reports to: Executive Director (CEO)

Role Summary

The Director of Membership & Engagement is responsible for building, supporting, and engaging GHQA’s member community. This role manages the membership lifecycle — from recruitment to renewals — while designing initiatives that promote active participation in GHQA’s programs, Boards, chapters, and events. The Director ensures that members experience value, connection, and professional growth within GHQA.

Core Responsibilities

  1. Membership Administration
  • Process new member applications, renewals, and upgrades (students, residents, fellows, physicians, fellows of GHQA, etc.).
  • Maintain an accurate and up-to-date membership database.
  • Ensure smooth onboarding of new members, including welcome packages and orientation.
  1. Member Engagement
  • Develop and coordinate initiatives that encourage members to participate in GHQA Boards, Journal submissions, Webinars, and Clinics.
  • Organize networking opportunities, mentorship programs, and community-building activities.
  • Partner with Communications to spotlight members (e.g., “Member of the Month”).
  1. Support & Retention
  • Respond promptly to member inquiries and provide assistance with benefits, resources, or technical issues.
  • Collect feedback on member experiences and recommend improvements.
  • Monitor member satisfaction and track renewal rates.
  1. Outreach & Growth
  • Collaborate with the Director of Programs & Outreach to expand membership globally, including students, professionals, and institutions.
  • Support the development of chapter-based membership drives.
  • Promote exclusive benefits (exam discounts, journal access, leadership opportunities).

  • Track membership metrics (growth, renewals, engagement levels).
  • Prepare monthly membership reports for leadership and Board.

  • Check in with Continental/National Chapter leaders to coordinate member recruitment efforts.
  • Share a daily/weekly membership dashboard with the Executive Director.

  • Launch a GHQA Member Portal with resources, exclusive content, and networking tools.
  • Develop a tiered membership structure with added value for each level (students, fellows, physicians, institutions).
  • Establish mentorship and leadership pipelines within GHQA.

The Director of Events & Learning leads the planning, coordination, and delivery of GHQA’s educational and professional development events. This includes Wednesday Webinars, workshops, Board preparation sessions, conferences, and chapter-based training programs. The role ensures events are engaging, high-quality, and aligned with GHQA’s mission of advancing global health, clinical medicine, and digital innovation.

Core Responsibilities

  1. Event Planning & Coordination
  • Organize and manage logistics for GHQA’s recurring events (Webinars, Community Sunday Clinics learning sessions, GHQA Board preparatory workshops, and conferences).
  • Oversee event calendars, registration, and communication with participants.
  • Coordinate with other directors (Programs, Communications, Membership) for promotion and outreach.
  1. Speaker & Content Management
  • Manage the full cycle of speaker engagement (invitations, confirmations, schedules).
  • Ensure speakers receive event guidelines, technical support, and presentation materials.
  • Collect speaker bios, slides, and required documentation.

Role Summary:
Serves as the main point of contact between GHQA headquarters and its regional/global chapters. Ensures alignment of mission, supports chapter growth, and facilitates knowledge sharing across regions.

Daily Activities:

  • Maintain regular communication with chapter leads (Africa, Europe, Asia, North America, South America, etc.).
  • Track chapter activities, membership growth, and program updates.
  • Provide chapters with GHQA resources (branding, guidelines, toolkits).
  • Troubleshoot challenges faced by chapters (funding, membership, visibility).
  • Coordinate global calendar of events to avoid overlap and strengthen collaboration.
  • Draft daily/weekly reports highlighting chapter activities and needs.
  • Support the establishment of new GHQA chapters in strategic locations.
  • Facilitate cross-chapter partnerships (e.g., research collaborations, joint events).

Longer-Term Responsibilities:

  • Develop a Chapter Handbook with guidelines on governance, membership, and activities.
  • Support chapter leaders in developing regional strategic plans.
  • Organize an Annual Chapter Leadership Forum (virtual or hybrid).
